House Manager

Description:
The House Manager is a full-time, exempt, salaried employee, accountable for the day-to-day operations of the House.

Reporting Relationship:
Reports to the Chief Executive Officer

Position Summary:
The House Manager is responsible for implementing the mission, goals and objectives of RMH Providence. He/she provides guiding leadership to the staff and volunteer team at RMH Providence and RM Family Room at Hasbro. This includes overseeing the day-to-day operations of the House, supervising operational personnel, and insuring that RMH Providence policies and procedures are appropriately implemented. It also includes a commitment to collaborating with the local community, hospital, and RMH Providence leadership to communicate the House’s story and continually improve our service to families.

Minimum Qualifications:
The House Manager must exhibit a high level of ethics, responsibility, warmth, compassion, diplomacy, honesty, tact, flexibility, trustworthiness and professionalism.

This position has certain key requirements:
• Exceptional organizational, planning and leadership skills are required.
• Ability to work autonomously and facilitate team building is required.
• Experience working effectively with a wide variety of people is required.
• Ability to communicate effectively both verbally and in writing is required.
• Computer skills are required.
• College education is required.

Experience working with volunteers is highly preferred. Minimum ten years of work experience with four years of management experience (preference in health care and/or not-for-profit).

Responsibilities:

I. Personnel Administration 
A. Recruits, trains, supervises and evaluates all House staff. 
B. Makes recommendations to the Chief Executive Officer regarding staffing patterns, job descriptions, work schedules, and staff compensation.

II. Program Administration 
A. Policies and Procedures 
    1. Supervises daily operations of checking families in and out and insuring their comfort throughout their stay. 
    2. Evaluates Ronald McDonald House policy and makes recommendations to the Chief Executive Officer. 
    3. Collaborates with the relevant RMH Providence Committee to create and/or revise operation/policy manuals, forms, etc. 
    4. Maintains communication with referral sources (e.g. hospital staff) to establish cooperative referral and support systems.
B. Family Relations 
    1. Promotes an atmosphere of warmth and understanding. 
    2. Demonstrates empathy and ability to relate to families in crises. 
    3. Effectively communicates with referral sources (e.g. hospital social workers) regarding family dynamics, residency status, need for extended housing, financial concerns, etc. 
    4. Explains, clarifies and implements policies and procedures to residents and referral sources.

III. Facilities Management
A. Monitors physical structure of facility 
    1. Arranges for repairs and maintenance in a timely manner. 
    2. Performs daily inspection of House and grounds. 
    3. Assures a high standard of health and safety. 
    4. Maintains maintenance manual and calendar. 
    5. Assures compliance with code regulations.
B. Supervises housekeeping and maintenance personnel.
C. Inventories and maintains household supplies and furnishings; pursues in-kind donations.
D. Monitors fire alarm and security systems.
E. Arranges for necessary grounds maintenance.

IV. Operations Management
A. Oversees referral and room assignment systems, guest registration, check-in and check-out procedures.
B. Oversees system of receiving donations.
C. Works with Chief Executive Officer to prepare the annual budget for the House.
D. Manages house operations budget including repairs and maintenance, house refurbishing, landscaping, house supplies and program expenses.
E. Assures that accurate records are maintained, including all correspondence.
F. Assures that informational materials are current and updated.
G. Assures that donations of goods and services are documented and acknowledged in a timely manner.
H. Participates in monthly meetings of the House Management team (volunteer coordinator, family room coordinator, weekend managers, resident night manager) working together to find ways to standardize, improve and expand the Houses’ service.

V. Community Interaction
A. Promotes communal awareness of the mission and objectives of the Ronald McDonald House and Family Room at Hasbro Children’s Hospital.
B. Actively promotes positive hospital relationships creating partnerships in service of our families.
C. Maintains relationships with RMH Providence individual donors and local businesses.
D. Works effectively with and promotes an environment of appreciation among volunteers and interested community groups.
F. Actively participates in planning and implementation of RMH Providence-sponsored events, including an annual volunteer appreciation event, holiday party, and other events as agreed upon by staff.
G. Represents Ronald McDonald House Providence at fund-raising, promotional and other special events specifically benefiting RMH Providence.
H. Represents RMH Providence at speaking engagements and other events as needed.
I. On a frequent basis, provides tours of the House to donors, potential sponsors, media, and others as the need arises.

VI. Charity Participation
A. Actively participates in the RMH Providence board committees as designated by Chief Executive Officer.
B. Provides reports on house operations to the Chief Executive Officer.
C. Attends major RMH Providence events as the House representative (major fundraisers, donor recognition events, RMH Providence Board meetings).
D. Participates in the future planning of the RMH Providence, collaborating with hospital leadership in planning for the future needs of our guests.

Performance Review:
Written performance and compensation review will occur annually by the Chief Executive Officer and the Executive Committee of RMH Providence every calendar year (January).
